This page explains what personal information SeaFresh (“we”, “us”) collects and how we use it when you use our website (seafreshni.co.uk), message our SeaFresh Facebook Page on Messenger, or place an order with us.

Who we are

SeaFresh is a seafood business based in Groomsport, Northern Ireland. You can contact us at [email protected].

What information we collect

Website contact form. If you use our Contact form to send us an enquiry, we collect:

  • Your name
  • Your email address
  • The subject of your message
  • The message content itself

Facebook Messenger. Our orders are taken through Facebook Messenger. When you message our SeaFresh Facebook Page, Meta provides us with the text of your message and the technical details needed to receive it: a Page-scoped sender ID, message and Page identifiers, and the time the message was sent. So that our staff can see who is ordering, we also use that ID to look up the first and last name on your Facebook profile. We do not collect any other profile information, such as your photo. We only process text messages. We do not download or keep copies of photos, files or other attachments.

Confirmed orders. When we confirm an order, we record your name, any contact details you gave us, the products and quantities, the collection date, any notes, and the wording of your original message.

This information comes directly from you, through our website or by messaging our Facebook Page. Meta supplies your message and its identifiers to us.

We do not take orders or payments through this website, and we do not collect payment card or bank details through the website or our order system.

How we use this information

We use your information to respond to your enquiries; to receive and organise seafood orders; to avoid processing the same message twice; to prepare, fulfil and support orders; and to keep appropriate security and business records.

Messenger messages are reviewed by authorised SeaFresh staff in our private order system. Our system uses an AI-assisted tool provided by OpenAI to turn the wording of a message into a proposed order when the message arrives. The proposal is only a draft: a member of staff checks it, and can correct it, before any order is confirmed. Our system does not make final decisions about your order automatically and does not send automated replies on Messenger.

Contact-form enquiries are emailed to [email protected] and are also stored within the website’s database as part of the form’s normal operation.

We do not sell or rent your personal information, and we do not share it with anyone for their own marketing.

Our lawful bases

Under UK data protection law we need a lawful basis to use your information. We rely on:

  • Contract – to take steps at your request before an order and to fulfil your order.
  • Legitimate interests – to respond to enquiries and to run and secure our order-handling process, in ways that are proportionate and do not override your rights.
  • Legal obligation – where the law requires us to keep certain records.

Who we share it with

We use a small number of service providers, only as needed to provide our service:

  • Meta (Facebook and Messenger), which delivers your messages to us.
  • Hostinger, which hosts our website, order system and database.
  • OpenAI, which processes the text of a message to draft a proposed order.

These providers handle information on our behalf under their own data-protection terms. We may also disclose information where the law requires it.

Transfers outside the UK

Some of these providers may process information outside the UK. Where they do, we rely on recognised safeguards, such as UK adequacy regulations or the UK International Data Transfer Agreement or Addendum, to protect your information.

How long we keep it

We keep personal information only for as long as we need it:

  • Messenger messages, and the draft order proposals created from them, are automatically deleted 30 days after we receive them.
  • On confirmed orders, your name, contact details, notes and the wording of your original message are automatically removed 30 days after the collection date. We keep only the products, quantities and dates for our own records.
  • Contact-form messages are kept only for as long as needed to deal with your enquiry.

We may keep information for longer where the law requires it, or where we need it to resolve a dispute or defend a legal claim.

Keeping it secure

Access to our order system is limited to authorised SeaFresh staff and protected by a login. Messages sent to us by Meta are verified before we accept them.

Cookies and tracking

This website does not currently use analytics or advertising tracking tools. The website uses standard technical/caching functionality to help pages load correctly; this does not track you personally.

Third-party content

Some pages on this site include an embedded Google Map. When a map loads, Google may set its own cookies or collect data in line with Google’s own privacy policy, which is separate from this one.

Your rights

Under UK data protection law you have the right to ask what personal information we hold about you, to ask us to correct it, to ask us to delete it and, in some cases, to object to or restrict how we use it.

To make a request, email [email protected]. To ask for information linked to a Messenger conversation or an order to be deleted, see our data deletion page. We may ask for enough information to identify the relevant record and to check that the request relates to you. Some information may need to be kept where we have a legal obligation.

If you are unhappy with how we have handled your information, you can complain to the Information Commissioner’s Office (ICO) at ico.org.uk/make-a-complaint or on 0303 123 1113.
